At Outforms, we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our form-building platform.
Information We Collect
We collect information that you provide directly to us, including:
- Account information: name, email address, and password when you register
- Form data: the forms you create and the submissions you receive through those forms
- File uploads: any files uploaded through your forms by respondents
- Integration data: OAuth tokens and connection details when you connect third-party services such as Google (Sheets, Gmail) or ClickUp
- Automatic data: IP address, browser type, user agent, and device information collected when you or your respondents access the platform
- Branding uploads: logos and brand assets you upload to customize your forms
How We Use Your Information
We use the information we collect to:
- Operate, maintain, and improve the Outforms platform
- Process form submissions and deliver them to you
- Execute integrations you configure (e.g., syncing responses to Google Sheets, sending Gmail notifications, creating ClickUp tasks, triggering webhooks)
- Communicate with you about your account, updates, and support requests
- Prevent abuse, fraud, and unauthorized access to the platform
Data Sharing and Third Parties
We do not sell your personal data. We may share data with third parties only in the following circumstances:
- Google APIs: when you connect Google Sheets or Gmail integrations, form data is shared with Google as needed to perform the integration
- ClickUp: when you configure ClickUp integrations, submission data is shared to create tasks in your ClickUp workspace
- Webhooks: when you configure webhook integrations, submission data is sent to the endpoint URLs you specify
- Hosting and infrastructure providers: we use third-party services to host and deliver the platform (e.g., Vercel, cloud databases)
- Legal requirements: we may disclose information if required by law or in response to valid legal processes
Google API Services Disclosure
Outforms connects to Google APIs to provide integration features you configure. This section describes how we handle data received from Google APIs.
When you connect your Google account, Outforms requests access to the following data depending on the integrations you enable:
- Google Sheets: read and write access to spreadsheets you select, to sync form submissions
- Google Drive: access to files created by the app, to manage spreadsheet integrations
- Email address: your Google account email, for account identification
- Gmail: ability to send emails on your behalf, for form submission notifications you configure
Outforms' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- We do not sell, rent, or transfer Google user data to third parties, except as necessary to provide or improve the integrations you have configured, for security purposes, or to comply with applicable law.
- Google user data is not used for serving advertisements, retargeting, personalized advertising, or interest-based advertising.
- Google user data is not used to determine credit-worthiness or for lending purposes.
- No human can read your Google user data unless: (1) you have given affirmative consent for specific messages, (2) it is necessary for security purposes (e.g., investigating abuse), (3) it is necessary to comply with applicable law, or (4) the data is aggregated and anonymized for internal operations.
Google OAuth tokens are stored encrypted and are retained only while your integration is active. You may disconnect your Google account at any time, which will revoke our access and delete stored tokens.
Data Retention
We retain your data for as long as your account is active. Form submissions and associated data are kept while your account exists. If you delete your account, we will delete your personal data and form data within 30 days, except where we are required to retain it for legal obligations.
Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- TLS/SSL encryption for all data in transit
- Secure password hashing using industry-standard algorithms
- Encrypted storage of OAuth tokens for third-party integrations
- Access controls and regular security reviews
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Access: request a copy of the personal data we hold about you
- Correction: request that we correct inaccurate or incomplete data
- Deletion: request that we delete your personal data
- Portability: request your data in a structured, machine-readable format
- Restriction: request that we limit how we process your data
- Objection: object to our processing of your data
- Consent withdrawal: withdraw consent where processing is based on consent

Cookies and Tracking
We use only essential cookies necessary for the platform to function:
- Session cookies: to keep you logged in
- Locale preference: to remember your language choice
- Theme preference: to remember your light/dark mode selection
We use Vercel Analytics for basic, privacy-friendly usage metrics. We do not use advertising trackers, third-party analytics, or cross-site tracking cookies.
Children's Privacy
Outforms is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will take steps to delete it.
International Data Transfers
Your data may be processed and stored in countries other than your own. By using Outforms, you consent to the transfer of your information to countries that may have different data protection laws than your jurisdiction.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of Outforms after changes constitutes acceptance of the updated policy.
